How We Collect Personal Information

We collect personal information through multiple channels to better serve your recruitment or employment needs. This includes information submitted through our website contact forms, email correspondence, LinkedIn profiles and direct messages, referrals from mutual contacts, and CV submissions through our website. We handle all information with care and in compliance with Australian privacy laws.

Candidate Information

When you submit your CV via our website or provide information during a recruitment process, we collect personal information including your name, contact details, work history, qualifications, location, work rights, and salary expectations. We use this information solely to identify and present you with suitable recruitment opportunities, to share your details (with your consent) with potential employer clients, and to comply with our legal obligations as a recruitment agent.

We retain candidate information for up to 12 months from your last interaction with Sonitec, after which we securely delete it. If we're actively engaged with you on a specific opportunity, we may retain it longer for the duration of that engagement and for a reasonable period afterwards for record-keeping.

You have the right to request access to, correction of, or deletion of your personal information at any time. To exercise these rights, email info@sonitec.com.au or reply to any email thread you have with us. We'll respond within 30 days.

Candidate information submitted through the website is delivered to us by email via Resend, our transactional email provider, and is then stored in our Microsoft 365 mailbox in Australia. Our primary store of candidate records is in Australia. In the course of submission and delivery, your information transits the infrastructure of Resend and Vercel, which may be located in the United States — see “Hosting & Service Providers” below. We take reasonable steps to ensure any overseas processor handles your information consistently with the Australian Privacy Principles.

Disclosure of Your Information

We only share your personal information with client companies when matching you to relevant roles and opportunities. This is done with your consent and only for the purpose of recruitment and employment consideration. We never sell your information to third parties or use it for purposes beyond recruitment matching. All information sharing is consistent with the Australian Privacy Principles (APPs) and our obligations as a licensed recruitment agent.

Artificial Intelligence in Our Recruitment Process

We use artificial-intelligence (AI) tools within our recruitment systems to help our consultants work more efficiently — for example, to summarise CVs, organise candidate information, and assist with shortlisting. AI is used to support our team, not to replace human judgement: a Sonitec consultant reviews and makes every decision that materially affects you, including shortlisting, progression to a client, and rejection. We do not make decisions that have a significant effect on you on a solely automated basis, without meaningful human review.

We use AI services provided by Anthropic, PBC (United States) within our own recruitment systems to assist with screening and assessment, under terms that prohibit the use of your data to train their models. The kinds of personal information used by these automated tools include your CV/resume, the details you submit with it and, where an interview is recorded with your knowledge, interview transcripts. No decision that significantly affects you is made solely by an automated program. The kinds of decisions for which automated tools do things substantially and directly related to the decision include screening and assessing your suitability against role-specific criteria and preparing shortlists — in every case reviewed and decided by a Sonitec consultant.

Our optional voice screening interview at sonitec.com.au/interview is conducted by an AI interviewer (“Eve”) using the real-time voice service of xAI Corp. (United States). The interviewer asks for your consent to recording at the start of the call before the interview proceeds. A written transcript of the interview — including the name and email address you provide — is stored in our recruitment systems in Australia (Supabase, Sydney) and in our workspace tools (Notion Labs, Inc., United States), and may be assessed by AI tools to assist screening. Your voice audio is processed by xAI to conduct the conversation. As with all AI-assisted processing described above, a Sonitec consultant reviews every assessment, and no decision that significantly affects you is made on a solely automated basis.

You have the right to opt out of AI-assisted processing of your information, to ask how AI was used in relation to your application, to request that a person review a decision, and to contest a decision you believe is wrong. Hosting & Service Providers

We use Vercel Inc. (United States) as our website hosting and content-delivery provider. Vercel processes website data on our behalf as a data processor under a Data Processing Addendum that incorporates the Australian Privacy Principles and the Privacy Act 1988 (Cth). Vercel's privacy notice is available at vercel.com/legal/privacy-policy and its sub-processor list at vercel.com/legal/sub-processors.

Information you submit through our contact form or CV submission may be disclosed to overseas recipients in the United States and other jurisdictions where Vercel and its sub-processors operate. We take reasonable steps to ensure those recipients comply with the Australian Privacy Principles. Function execution and primary log generation for this website occurs in Sydney, Australia (AWS ap-southeast-2).

Our operational and compliance records are held in Australia (Supabase, Sydney).

Security of Personal Information

We take the security of your personal information seriously. We implement industry-standard encryption, access controls, and secure data storage practices. Our systems are regularly reviewed and updated to protect against unauthorised access, loss, or misuse. Only authorised Sonitec team members have access to candidate and client data.

How Long We Keep Your Information

We retain your personal information for the duration of our engagement with you, plus an additional two years after the relationship concludes. This retention period allows us to support any follow-up placements or referrals. If you wish to have your information deleted earlier, please contact us at info@sonitec.com.au and we will process your request within 30 days.

Your Rights

Under the Australian Privacy Principles, you have the right to access the personal information we hold about you, request corrections to any inaccurate information, and request deletion of your data (subject to our legal obligations). Changes to This Policy

We may update this privacy policy from time to time to reflect changes in our practices or legal requirements. We encourage you to review this policy periodically. Any material changes will be notified to you via email. This policy was last updated in August 2026.
